How to use the work hours calculator

  1. Enter a shift Choose its day and week, then enter the start and end times.
  2. Subtract unpaid breaks Enter the total break time in minutes. For two 15-minute breaks and a 30-minute lunch, enter 60 if all three are unpaid.
  3. Include overnight work Select Ends next day when the shift finishes after midnight.
  4. Add the remaining shifts Use Add shift for another work period. Choose Week 2 for a two-week time card, or the same day and week for a split shift.
  5. Check and export Open Daily totals to review each day, then copy, download a CSV or print your time card.

How to calculate hours worked

Hours worked = time between clock-in and clock-out − unpaid breaks. Calculate the elapsed time in minutes first, subtract break minutes, then divide by 60 to get decimal hours.

Example: work hours minus lunch

A shift from 08:15 to 16:45 lasts 8 hours 30 minutes, or 510 minutes. Subtract a 45-minute lunch: 510 − 45 = 465 minutes. The result is 7h 45m, or 7.75 decimal hours.

Enter only breaks you want deducted from worked time. Leave paid breaks out of the deduction. If your lunch break changes from day to day, enter the actual minutes for each shift.

Calculate overnight and split shifts

Example: a shift across midnight

For a shift from 21:45 to 05:15, select Ends next day. There are 2h 15m before midnight and 5h 15m after midnight: 7h 30m altogether. After a 30-minute unpaid break, the worked time is 7h, or 7.00 decimal hours.

Example: two shifts in one day

For work from 09:00 to 12:00 and again from 14:00 to 18:00, add two shifts assigned to the same day and week. The calculator combines 3 hours and 4 hours into a 7-hour daily total. The gap between the shifts is excluded automatically.

Weekly and biweekly work hours

Add each day’s worked time to get the weekly total. Five days of 7h 30m each add up to 37h 30m, or 37.50 decimal hours. Different shift lengths and break durations are included separately, so you can enter your actual schedule.

For a biweekly time card, assign the first week’s shifts to Week 1 and the second week’s shifts to Week 2. If Week 1 totals 37h 30m and Week 2 totals 38h 15m, the combined total is 75h 45m, or 75.75 decimal hours. You can review each week’s subtotal alongside the overall total.

Convert hours and minutes to decimal hours

Decimal hours = hours + (minutes ÷ 60). For 7h 45m, calculate 7 + 45 ÷ 60 = 7.75. This gives you a single number to use in a spreadsheet instead of an hours-and-minutes duration.

  1. 10 minutes ≈ 0.17 hours
  2. 20 minutes ≈ 0.33 hours
  3. 30 minutes = 0.50 hours
  4. 45 minutes = 0.75 hours

Decimal results display two decimal places. The calculator adds the original worked minutes before converting the total, so rounding individual decimal values does not change your overall time.

Copy, download or print your time card

Download CSV to open your time card in Excel, Google Sheets or another spreadsheet app. The file includes each shift’s day, week, start, end, overnight setting, break minutes, worked duration and decimal hours, followed by weekly and overall totals.

Copy summary puts the same data on your clipboard as tab-separated rows, ready to paste into a spreadsheet. Print opens your browser’s print dialog with a time card report.
